Any HR request that needs sign-off — a leave request, a loan, an advance salary, an HR letter, or a salary package change — can be routed through an approval workflow. Approvers get notifications on their dashboard and approve or reject from a single queue.

What you can do

  • Configure who can approve what — directly, by amount, or by department.
  • Set up an approval workflow for any HR request, with optional conditions.
  • Have requests route automatically to the right approver.
  • Approve, reject, or delegate from your dashboard.
  • Audit the full history of approvals — when, who, and the outcome.

Before you start

  • Identify the approvers in your HR chain (HR manager, department head, finance director).
  • For amount-based rules (e.g. loans over a certain amount need finance sign-off), have the thresholds ready.

Walkthroughs

Walkthrough 1 — Set up approvers

Before any approval workflow can run, each approver needs to be registered.
  1. Search for Approval User Setup.
  2. For each approver in your HR chain, click New and fill a row:
    • User ID — the company sign-in to approve as.
    • Email — where notifications go.
    • Substitute — a fallback approver while this person is out of office.
  3. Press Esc to save.

Walkthrough 2 — Build a leave-approval workflow

Route every leave request through the employee’s direct manager.
  1. Search for Workflows.
  2. Click New (or New Workflow from Template if there’s a leave template ready).
  3. Set the trigger to Approval of Leave Request.
  4. (Optional) Add a condition — e.g. only requests longer than 5 days need manager approval.
  5. Add a response: Create Approval Request → pick Approver = Direct Manager (or a specific user / workflow group).
  6. Add a follow-up response: Apply Approval Request — this runs when the approval is granted and commits the leave.
  7. Tick Enabled on the workflow row.
  8. Save.
New leave requests now trigger this workflow. Approvers receive notifications.

Walkthrough 3 — Approve a leave request

You’re an HR manager and a leave request is waiting in your queue.
  1. Sign in. On your dashboard, the Approvals section shows a count of pending requests.
  2. Click the count. The list of requests opens.
  3. Pick a row and click Open Document to see the leave details — dates, balance.
  4. Back on the list, click Approve. (Or Reject with a reason, or Delegate to someone else.)
The leave is committed; the employee’s balance is decremented; the approval is logged for the audit trail.
